This Privacy Policy explains how Solharbor Management Ltd ("Solharbor", "we", "us", or "our") collects, uses, shares, stores, and protects personal information when you visit our website, contact us, use our consulting services, or use Solharbor-operated products including Solharbor Social.

1. Information We Collect

We collect personal information in the following ways:

  • Information you provide directly, such as your name, email address, company, role, phone number, messages, form submissions, account details, support requests, and billing or commercial information.
  • Information generated through use of our services, such as login events, application settings, connected integrations, support history, technical logs, device and browser information, IP address, pages viewed, and usage activity.
  • Information from third-party services that you choose to connect to a Solharbor product, such as social media platforms, cloud services, CRM systems, data warehouses, payment providers, or AI tools.
  • Information from business interactions, including sales conversations, proposals, contracts, project documentation, meeting notes, and operational records.

2. Solharbor Social and Connected Social Accounts

If you use Solharbor Social or connect a social media account or page, we process information needed to provide scheduling, publishing, analytics, integration, and support features.

For LinkedIn and other social platforms, this may include your platform member identifier, profile name, profile photo, vanity or profile URL, organization or page identifiers, organization or page names, page logos, access tokens, refresh tokens, scopes or permissions granted, post content, media, scheduled publishing metadata, publishing status, error messages, and engagement or reporting data where available and authorized by you.

We access connected social account data only after you authorize the connection through the relevant platform's consent flow. We use that data to connect channels, display available accounts or pages, schedule and publish posts, refresh access, retrieve page information, manage posts or comments where authorized, diagnose errors, and provide requested service functionality.

3. LinkedIn Data

When you connect LinkedIn to Solharbor Social, we use LinkedIn data only to provide the LinkedIn integration features you request. This includes account connection, profile or page identification, content scheduling, publishing, page selection, token refresh, publishing status, troubleshooting, and authorized analytics or reporting features.

We do not sell LinkedIn data. We do not use LinkedIn data for unrelated advertising. We do not access LinkedIn data before you authorize the connection. You can withdraw consent by disconnecting LinkedIn in Solharbor Social, revoking the application in your LinkedIn account settings, or contacting us.

Where LinkedIn platform rules or data storage requirements impose shorter retention periods than this policy, we apply the more restrictive requirement.

4. How We Use Information

We use personal information to:

  • Provide, operate, secure, maintain, and improve our website, consulting services, and software products.
  • Create and manage accounts, authenticate users, connect integrations, and provide support.
  • Schedule, publish, analyze, and manage content at your direction.
  • Communicate with you about services, security, support, product updates, and commercial matters.
  • Generate or assist with content where you choose to use AI-assisted features.
  • Monitor service reliability, investigate errors, prevent misuse, and protect our systems and users.
  • Comply with legal, regulatory, tax, accounting, and contractual obligations.

5. AI-Assisted Features

Some Solharbor services and products may use AI providers to generate, summarize, classify, or improve content at your direction. If you use these features, prompts, post text, uploaded content, connected account metadata, or related context may be processed by AI providers as needed to provide the feature. We do not use connected social account data for AI processing unless it is necessary for a feature you request or for service operation and support.

6. Information Sharing

We may share personal information with:

  • Service providers and subprocessors that help us provide hosting, databases, storage, email, analytics, security, logging, support, payment processing, automation, and AI-assisted features.
  • Third-party platforms that you choose to connect, such as LinkedIn or other social networks, when needed to perform actions you request.
  • Professional advisers, auditors, insurers, regulators, courts, law enforcement, or public authorities where required or appropriate.
  • Parties involved in a business transaction, such as a merger, acquisition, financing, restructuring, or sale of assets, subject to appropriate safeguards.

We do not sell personal information.

7. Service Providers and Subprocessors

We use third-party providers to operate our services. Depending on the service you use, these may include cloud hosting, database, storage, source control, email, security, monitoring, payment, and AI providers. We require service providers to process personal information only as needed to provide services to us and under appropriate confidentiality and data-protection obligations.

For business customers where Solharbor acts as a processor, our Data Processing Addendum describes processor terms and authorized subprocessors.

8. Data Retention

We retain personal information for as long as needed to provide services, maintain accounts, comply with legal obligations, resolve disputes, enforce agreements, maintain security, and keep reasonable business records.

Connected account tokens and integration metadata are retained while the integration remains active, unless a shorter retention period is required by a platform rule, contract, or law. Scheduled content, media, publishing history, and operational logs are retained as needed to provide the service and support troubleshooting. Backup copies may persist for a limited period before being overwritten or deleted in the ordinary course.

9. Deletion, Disconnection, and Withdrawal of Consent

You may disconnect connected social accounts within the product where available. You may also revoke access through the relevant third-party platform, including LinkedIn account settings. Disconnection or revocation may prevent us from publishing, refreshing, or retrieving data from that platform.

You may request access, correction, export, restriction, objection, or deletion of your personal information by contacting us. We will respond in accordance with applicable law and may need to retain limited information where required for legal, security, accounting, backup, or audit purposes.

10. Security

We implement appropriate technical and organizational measures designed to protect personal information against unauthorized access, alteration, disclosure, or destruction. These measures may include access controls, encryption in transit, secure credential handling, backups, logging, vulnerability management, and confidentiality obligations for personnel and service providers.

11. International Transfers

We are based in the United Kingdom and may use service providers located in other countries. Where personal information is transferred internationally, we use appropriate safeguards where required by applicable law, such as adequacy regulations, standard contractual clauses, the UK Addendum to the EU Standard Contractual Clauses, or equivalent transfer mechanisms.

Depending on where you are located, you may have rights to access, correct, delete, restrict, object to processing, request portability of, or withdraw consent for certain processing of your personal information. You may also have the right to complain to a data protection authority.
